Built for performance, not just appearances.
Most South Florida businesses that come to us with HubSpot have the same story: the portal was activated, a few contacts were imported, and then it sat largely untouched while the sales team kept working out of spreadsheets. Proper HubSpot CRM setup is an implementation project, not a software purchase. The Web Design Hub handles the full build — pipeline architecture, data migration, automation, and live training — so your team has a system they trust and actually use from week one.
We've configured HubSpot for businesses across dozens of industries — from service companies and agencies to healthcare practices, real estate firms, and technology companies. We understand what a good HubSpot setup looks like for your specific sales process, not just what the platform defaults provide. Every implementation we deliver is built around your actual workflow, your real data, and your team's way of doing business.

— South Florida Business Owner
HubSpot's onboarding flow is designed to get a portal technically functional in hours. That is not the same as making it operationally useful for your specific business. The gap between "portal is live" and "team is closing deals inside it" is where most implementations fail — and where our work begins.
A properly implemented HubSpot CRM has four qualities that a rushed setup lacks: a pipeline that mirrors your actual sales stages, contact and company records that are clean and consistently maintained, automation that reduces manual work without creating confusion, and a team that understands the system well enough to use it without constant hand-holding. Each of those qualities requires deliberate configuration decisions, not defaults.
The Implementation Process We Follow
1. Discovery and Process Mapping
Before we touch HubSpot, we document your sales process in detail: how leads enter, who owns them at each stage, what triggers a stage advance, how proposals are managed, and what happens to closed-lost deals. This documentation becomes the blueprint for every configuration decision that follows.
2. Portal Architecture and Configuration
We configure your HubSpot portal from the ground up — custom contact and company properties, deal stages with clear entry and exit criteria, user roles and permission sets, connected email and calendar integrations, and your domain and branding settings. Every property we create has a defined owner and a defined purpose; we don't build fields that no one will maintain.
3. Data Migration
We audit your existing contact and company data before import — identifying duplicates, inconsistent formats, missing required fields, and records that should be archived rather than migrated. Data is mapped to HubSpot's object structure, cleaned in staging, and imported in a controlled sequence that preserves associations between contacts, companies, and deals.
4. Automation and Workflow Build
Automation scope varies by engagement, but typically includes lead assignment workflows, lifecycle stage progression logic, internal notification sequences, and at minimum one outbound nurture sequence. Each workflow is built with clear enrollment criteria, suppression logic to prevent double-enrollment, and inline notes explaining what it does — so your team can maintain it without calling us.
5. Reporting and Dashboard Setup
We build role-appropriate dashboards: a sales manager view showing pipeline velocity and stage conversion rates, a rep view showing personal activity and deal status, and a marketing view connecting campaign activity to contact acquisition. Reports answer real business questions rather than just displaying available data.
6. Training and Handoff
Live training sessions are divided by role. Sales reps learn contact management, deal logging, task creation, and sequence enrollment. Marketing staff learn list segmentation, campaign setup, and form/workflow management. Admins learn property management, user setup, and workflow editing. All sessions are recorded and supplemented with a written reference guide specific to your portal.
South Florida Market Considerations
The diversity of South Florida's economy — spanning international trade, real estate, marine industries, healthcare, hospitality, professional services, and a large base of small and mid-size businesses with Latin American ties — means that no single HubSpot template fits every client. Deal cycles, contact relationship structures, language preferences for communication templates, and the role of referral networks all vary significantly by sector. We account for those variables during scoping rather than applying a one-size-fits-all configuration and hoping it fits.
- Multi-language email templates for businesses serving Spanish-speaking client bases
- Referral source tracking for professional services firms where network drives pipeline
- Seasonal workflow logic for hospitality, events, and tourism-adjacent businesses
- Multi-entity portal structures for holding companies or franchise operations
If your business has a specific operational wrinkle — unusual deal structures, a hybrid B2B/B2C model, a heavily event-driven sales process — bring it to the scoping call. We have almost certainly configured HubSpot around a similar constraint before.
